A client's IT department incorrectly deployed the software application, which was the subject of the license, to too many users in the organisation, who did not need the functionality, resulting in an undersubscription. The client did not purchase an assessment tool for auditing license deployment, which would have alerted it to this. The result was a substantial claim for license fees and the risk of financial waste.
We engaged the software licensor on behalf of our client and negotiated a mutually beneficial settlement, which involved our client purchasing an upgraded version of the software to enhance efficiency. Additionally, our client purchased a software audit tool to monitor deployment, and the licensor agreed to waive its claim for undersubscription.
This resulted in a considerable saving for the client and served as a lesson learnt of the perils of undersubscription. On the other side of the coin, oversubscription resulting in unused licenses lying idle in an organisation can also result in financial waste and a correct audit tool would mitigate this risk.
